Job Title: Crew Member (Non-Exempt) Seasonal

Reports to: Production Superintendent

Indirectly Reports to:  Crew Leader

A landscaping Crew Member at English Gardens is responsible for a wide variety of landscaping and maintenance activities under the supervision of the Crew Leader. These responsibilities may include planting, pruning, placing pavers and stones, operating hand tools as well as small and large equipment.

Position Summary:

  • Follow all English Gardens safety protocol and procedures on the job site and in the yard
  • Apply yourself daily learning new tasks and ways of doing things on job sites and in yard
  • Installation of material according to design specifications under the direction of the Crew Leader
  • Installation of fabric, sod, decorative rock, mulch etc.
  • Installation and maintenance of annual and perennial beds and planters
  • Ability to operate light and heavy equipment, power tools and hand tools
  • Keep work vehicles and equipment clean and organized
  • Perform daily equipment safety checks and routine maintenance as needed
  • Ability to communicate professionally with clients and co workers
  • Ability to follow directions given by your Crew Leader, Assistant Crew Leaders, Superintendents and Management

JOB TITLE: ASSISTANT CREW LEADER (NON-EXEMPT) FULL TIME

REPORTS TO: SUPERINTENDENT

INDIRECTLY REPORTS TO:  CREW LEADER

OBJECTIVE: The Assistant Crew Leader will help lead and participate in performing various landscaping and horticultural functions, maintenance tasks and equipment operation.  They will work with the Crew Leader to help with the supervision of the work that the Crew Members are performing.   Ensures all English Gardens safety and quality controls are being followed.  Ability to work closely with the Crew Leader and Crew Members in the installation of weekly landscape projects.

Objective: The Associate Landscape Superintendent is responsible to work closely with the Production Superintendent to ensure English Gardens Landscape company performs a quality installation.  They must be able to help reach or exceed projected installation goals within projected hours, along with doing whatever it takes to ensure the following objectives are met: quality job, profitable job and complete customer satisfaction.  

Position Summary:

  • Ability to follow all English Gardens safety and protocol and implement this same policy and procedure with Crew, Crew Members and other Landscape staff.
  • Complete the daily load list prior to 10a.m. so the Nursery staff can coordinate plant materials, substitutions for the next day’s job.
  • Determine the number of Crew and associates needed per job.
  • Determine equipment needed per job.
  • Assist with review inspection reports and follow through of repairs in and out of shop.
  • Help with the teaching and education of the staff on training (working with the Quality Control Manager) on expectations.

Objective: The Landscape Production Superintendent is responsible for the quality of installation of any given project for English Gardens Landscape.  This entails exceeding the installation goals within the projected hours.  Criteria that must be met are a quality job, profitable job and total customer satisfaction.  They are responsible for the plan, development and execution of the projects, while managing and scheduling the staff, sub-contractors and equipment used.  They are responsible for the oversite of completed work. Ability to help coordinate  decisions and suggest alternatives on soil, plant species, layouts and design of project working closely with the Landscape Designer.

Position Summary:

  • Ability to follow all English Gardens safety and protocol and implement this same policy and procedure with Crew, Crew Members and other Landscape staff.

Objective:  Ensure the profitable operations of the Landscape Company working with the Director of Landscape & the Sales Manager, while focusing on providing a people-friendly work environment, fostering customer relations and providing a superior product in a manner which maintains the integrity of the company’s mission statement with attention to expansion and new product/service opportunities. The Landscape Operations Manager will oversee both the landscape project plan and the workers who implement it.

Reports to:  Director of Landscape

Direct Reports:  Fleet Coordinator, Nursery Superintendent, Sr. Superintendents 

Areas of Responsibility:

FINANCIAL:

  1. Prepare for and coordinate inventory and cycle counts
  2. Aid in estimating and reviewing costs working with Director of Landscape.
  3. Monitor costs for equipment, fleet, labor, working with Director of Landscape.

 Team Management and Leadership

  1. Work closely with the Fleet Coordinator, Sr. Superintendents & Sales Manager.
  2. Strategize with Director of Landscape to assist in developing and ensure the staff’s participation in the company’s internal training programs.
  3. Recommend evaluation, salary and/or rate guidelines for all department personnel working directly with the Director of Landscape.
  4. Ensure all personnel records and testing are completed and properly routed to Payroll & Benefits.
  5. Conduct Growth Reviews for all staff that reports to you, according to the established time frames, and ensure your staff is conducting effective reviews on their own team members within established time frames.

  4. Monitor the scheduling board working with the Sr. Superintendents.

Policies and Procedures

  1. Assist in developing and revising asset control and safety policies and enforce the established policies and procedures regarding the same.
  2. Ensure landscape staff is following all company procedures.
  3. Meet with Superintendents, & Director of Landscape on a weekly basis to review all facets of the facility operations.
  4. Communicate company business philosophy and policies to all department members working with HR Manager.
  5. Communicate the landscape department’s operation strategy to all company associates working with the Director of Landscape.

Facility

  1. Evaluate facility improvement needs, make recommendations to the Director of Landscape regarding proposed changes, updates and ensure a thorough completion.
  2. Ensure proper maintenance of property and equipment for proper appearance, performance and compliance with government regulations.
  3. Ensure ALL safety measures and precautions are being followed per the associate handbook and safety manual procedures

Scheduling of Staff & Projects

  1. Make changes with the Superintendents and Crew members, Fleet Coordinator as necessary to accommodate schedule requests.
  2. Any changes due to weather, sub- contractor not complete, lack of materials, etc. should be discussed ahead of time to allow the nursery time to pull other stock to accommodate another client.
  3. Approve a 70% complete load list for the next day before 12p.m. Use the pull sheets from the work packets until list is finalized.  The final version of the daily load list should be completed before 2:30p.m. so the nursery can gather and load before crews are done for the day, working with the Nursery Superintendent.
  4. Approve load list for the next day the evening before.
  5. Approve deliveries and the order of shipping.
  6. Follow-up on warranty issues, make sure the warranty material is ordered in a timely fashion with a minimum of customer discomfort. Working with the Sales Manager set a weekly meeting with the warranty coordinator to review warranties.

Background/Education:

  • 5+ years in related industry, 5 + years in sales related industry
  • Licensing, pesticide application, chauffeurs preferred
  • Ability to lead and manage a diverse team
  • Ability to reach goals and time lines on a daily, weekly, monthly basis

Financial Management

  1. Provide input in the preparation of the annual budgets projecting sales, gross margin, contribution margin and all Manager related expenses.
  2. Achieve or exceed the sales, operation and profit targets for the department.
  3. Review department sales reports on a weekly basis, identify and act on trends and report findings to the Director of Landscape.
  4. Review and analyze sales results and labor statistics on a weekly basis, and meet with Director of Landscape to determine any necessary changes.
  5. Review sales mix of subcontractor, plant material, hard material and internal work on a monthly basis and take action to correct discrepancies.
  6. Monitor and approve all operating expenses.
  7. Recommend long-term and short-term capital improvements, and ensure completion of all approved plans.
  8. Ensure all receiving paperwork is entered in the system, processed and routed to the accounts payable department for payment.
  9. Ensure all aspects of department banking are executed according to policies and procedures.
  10. Monitor department accounts receivable and ensures proper collection procedures.
  11. Gather all information for the varieties and quantities and order from the necessary vendors.
  12. Verify possible substitutions for the missing varieties.

Team Management and Leadership

  1. Oversee department employee-staffing requirements. Work with Director of Landscape as well as the Human Resources department to obtain the most qualified staff available.

  1. Evaluate facility improvement needs, make recommendations to Director of Landscape regarding proposed changes and ensure their thorough completion.
  2. Ensure the proper maintenance of property and equipment for proper appearance, performance and compliance with government regulations.

 General Duties

  1. Provide feedback as needed to staff members regarding the outcome of all corporate meetings and insure all issues requiring action are addressed and follow up as needed.
  2. Attend all required company meetings and special events.
  3. Ensure the landscape office is opened and closed in accordance with established hours of operations.
  4. Ensure that all vehicles assigned to the LD are maintained and meet established safety guidelines.
  5. Act in accordance with the company Code of Conduct at all times.
  6. Assist with all other special duties and projects as directed by Director of Landscape.
  7. Keep current with all local and state government regulations as they apply to the Landscape Company.
  8. Participate in various trade group functions educational events and etc. Recommend staff for same as needed.
  9. Give input to Director of Landscape in conjunction with the Computer Systems Manager on the on going development of department computerization.
  10. Ensure a good working relationship with all locations and departments throughout the company.
  11. Present a good image of the company at all times in the community.
  12. Maintain knowledge of competition.

Scheduling of projects

  1. Any changes do to weather, sub contractor not complete, lack of, materials, etc., should be discussed ahead of time to allow the nursery time to pull other stock to accommodate another client.
  2. Approve a 70% complete load list for the next day before 12pm.  Use the pull sheets from the work packets until list is finalized.   The final version of the daily load list should be completed before 2:30pm so the nursery can gather and load before crews are done for the day.
  3. Approve the load list for the next day the evening before.
  4. Any changes do to weather, sub contractor not complete, lack of, materials, etc., should be discussed ahead of time to allow the nursery time to pull other stock to accommodate another client.
  5. Approve deliveries and the order of shipping.
  6. Follow –up on warranty issues; Make sure the warranty material is ordered in a timely fashion with a minimum of customer discomfort.  Set a weekly meeting with the warranty coordinator to review warranties.

Scheduling of Staff

  1. Make changes with the crew staff as necessary to accommodate schedule.
  2. Use total pool of crew personnel to create split shifts to keep down overtime.

Marketing

  1. Assist in development of marketing strategy and promotional material.
  2. Implement advertising and marketing programs.
  3. Ensure landscape company representation in all appropriate in-store and out of store events.
  4. Work with the Marketing Director and the General Managers on improving and maintaining the in-store department promotional materials, displays and lead process.

Background/Education:

Job Title: Quality Control Manager

OBJECTIVE:

The Quality Control Manager is responsible for making sure that our team learns and maintains English Gardens Standards.  This position is responsible for setting up and performing training programs, ensuring project quality, and ensuring warranty practices are maintained at our company standards.  In this position you will maintain quality standards by responding to all warranty issues, assessment of all green good and hardscape work and will be responsible for all in house training as it pertains to quality control for job sites. The candidate must have a keen eye for quality with good technical knowledge.

Overview of job responsibilities:

  1. Create and implement a training and testing program for production staff that sets standards for job promotion, career planning and pathways.
  2. Work with Design team to help create buildable, profitable plans and quotes. Including shooting grades and any other site work needed before we finalize the prices to client.
  3. Provide any relevant feedback to the design team as needed with regard to training, installation, product and/or technical knowledge.
  4. Attend all preconstruction walk through’s looking for design and training issues before the job starts.
  5. Inspect completed landscape projects to find out where training is needed for the team.
  6. Use the win/loss board to help find issues and where to spend energy.
  7. Inspect all subcontracted jobs to ensure the contractor is adhering to plans supplied.
  8. Ensure all hardscape checklists are completed to English Gardens standards.
  9. Approve all finished subcontractor work confirming specifications.
  10. Ensure clients are happy with all sub-contract work performed for English Gardens.
  11. Ensure vendor relationships are solid and on time and on task.
  12. Teaching & Training of quality control process relating to warranty work, take offs, procedures.
  13. Coordinating warranty work with schedule board.

Reports to:  President of Landscape Company

Direct Reports:  Sales Manager, Operations Manager, Bookkeeper. 

Areas of Responsibility:

I. Financial Management

  • Achieve the sales, operation and profit targets for the department, financials.
  • Provide input in the preparation of the annual budgets projecting sales, gross margin, contribution margin and all  related expenses.
  • Review department sales reports on a weekly basis, identify and act on trends and report findings to the President of Landscape Company.
  • Review and analyze sales results, labor statistics and win/loss on a weekly basis, and meet with management to determine any necessary changes.
  • Review sales mix of subcontractor, plant material, hard material and internal work on a monthly basis and make adjustments as needed.
  • Monitor and approve all operating expenses.
  • Recommend long-term and short-term capital improvements, and ensure completion of all approved plans.
  • Ensure all receiving is entered in the system, and all related paperwork is processed and routed to the accounts payable department for payment.
  • Ensure all aspects of department banking are executed according to policies and procedures.
  • Monitor department accounts receivable and ensures proper collection procedures. 

Team Management and Leadership

  • Oversee department employee-staffing requirements. Work with Sales Manager & Operations Manager, as well as the Human Resource Manager to obtain and retain the most qualified staff available.
  • Provide direction to the management and supervisory team in hiring staff level employees, organizational chart.
  • Work closely with the Landscape Managers, Supervisors and Designers to coordinate appropriate activities as they affect the Landscape department.
  • Strategize, assist in developing and ensure the staff’s participation in the company’s internal training programs.
  • Recommend salary and/or rate guidelines for all department personnel working with Sales Manager & Operations Manager.
  • Approve hiring rates for all staff level positions.
  • Ensure all personnel records are completed and properly routed to Human Resources and/or Payroll & Benefits.
  • Conduct Growth Reviews for all Managers according to the established timeframes, ensure managers and supervisors are conducting effective reviews on their own team members.
  • Create a motivational environment for all team members, and provide counseling and support as necessary to ensure peak performance,
  • Conduct employee meetings and management meetings on a weekly basis.
  • Integrate management and staff schedules with department needs, vacations, trade shows, educational programs and individual requests.
  • Review all staff schedules, approve Management schedules.
  • Identify and participate in industry functions and educational programs, and share insights gained with associates.
  • Ensure all payroll records are received in the payroll office according to established timeframes.
  • Ensure all terminations are handled in accordance with the established company procedure.
  • Use the established company procedure for addressing and documenting any performance problems when needed, working with the HR Manager.
  • Make recommendations on current department structure, company growth and operating procedures, and ensure that they are implemented as approved.
  • Set and maintain department standards in the areas of design, customer service, sales and installation.
  • Prepare seasonal plans for peak and off-peak seasons.

II. Product

  • Ensure the department has the products needed to maximize sales.  Find and implement new products in OMNI and UDS.  Assist with selling the new products. Working and teaching the Sales & Operations Manager.
  • Cooperate with retail stores regarding inventory control and product movement.
  • Ensure products are properly tagged working with Operations Manager.
  • Communicate with the President of Landscape Company and the VP’s of Merchandising and/or the Merchandising managers to evaluate product needs, quality, availability, re-orders and inventory levels.
  • Provide direction to department personnel on the procurement of materials through buyers and store managers.
  • Oversee the design, estimating, presentation and construction of any major landscape and holiday installations, working with Sales Manager.
  • Maintain control of all department inventories.
  • Monitor warranty issues and set guidelines to minimize occurrence working with Operations Manager.
  • Prepare for and coordinate inventory and cycle counts.
  • Monitor installation quality and efficiency working with the Operations Manager.
  • Maintain knowledge of product and service categories the entire company offers working with Sales Manager & Operations Manager.
  • Ensure the proper OMNI and UDS set up, receiving, tagging, care and handling of all products, working with Sales Manager & Operations Manager.
  • Stay abreast of industry trends and make recommendations as necessary.
  • Make recommendations to President of Landscape Company regarding expansion of department services and product lines.

Sales Management

  • Ensure all LC personnel provide exceptional customer service.
  • Conduct seasonal sales recaps to identify successes and opportunities for growth, and provide feedback to the President of Landscape Company.
  • Screen leads, monitor contact and closure rates, working with Sales Manager.
  • Monthly reviews of designer’s wage to sales ratio and adjust compensation as needed, working with Sales Manager.

III. Policies and Procedures

  • Assist in developing and revising asset control policies and enforce the established policies and procedures regarding the same.
  • Ensure managers and staff are following all company procedures regarding operations.
  • Meet with President of Landscape, Sales Manager, Operations Manager and Designers on a weekly basis to review all facets of operations.
  • Document and update the operating policies and procedures manual.
  • Assist in establishing and implementing company-wide policies and procedures working with HR Manager.
  • Communicate company business philosophy and policies to all department members.
  • Communicate the landscape department’s strategy to all company associates.
